Policies

To qualify for Travelmax’s wholesale agency network, you must agree to our Agency Terms of Service and Privacy Policy, complete our Online Application Form, complete and sign our Credit Card Authorization Form, and maintain, either personally or through your agency, a bank account in the United States, Peru, or Spain.

Membership in Travelmax’s network grants you access to the commissions and net fares of a large, long-standing agency while enabling you to maintain your own agency’s brand and full independence (Travelmax’s network of agency clients must maintain their own corporate identities and may not represent Travelmax’s brand).

Travelmax’s agency partners must keep all information related to Travelmax’s industry relationships, special rates and privileges, commissions, and net fares private. Under no circumstances may Travelmax’s wholesale agency partners share information about Travelmax’s contracts and powers with anyone else.

To keep our network’s confidential information secure, Travelmax’s agency partners must create, regularly update, and securely store all passwords related to their membership in Travelmax’s agency network, such as passwords to our private intranets.

Travelmax’s agency clients must issue full, authorized payment for airline bookings before the tickets can be issued. If Travelmax’s agency clients wish to use the credit card of a passenger rather than their company credit card, the passenger must complete and sign Travelmax’s Sign-Request-powered Credit Card Authorization Form. Exceptions may be made for agencies who maintain a security deposit with Travelmax.

Travelmax’s agency partners are issued weekly statements summarizing their earnings and fees. Travelmax issues airline-related earnings payment to agency clients on the first and third Wednesday of each month. Hotel, car rental, cruise, and package commissions are paid monthly.

Travelmax’s agency partners are fully responsible for:

  • Maintaining their own corporate identity, unique from that of Travelmax (Travelmax’s agency partners may not represent or communicate on behalf of Travelmax or its staff).
  • Communicating directly with Travelmax’s agency team.
  • Conducting the research and providing the service required to address their clients’ requests and provide them with travel booking quotations (Travelmax does not provide outsourced client services; it only offers access to its special commissions, rates, and fares).
  • Maintaining agents and staff that are sufficiently equipped to meet their clients’ needs (Travelmax only provides access to special commissions and rates; it is not a provider of outsourced client services).
  • Applying commissions at the time of booking (agency partners not entitled to any unapplied commissions at the time of ticketing).
  • Issuing invoices for each sale with complete order details, including: provider’s name, booking reference, passengers’ names, dates of service, and commission amount.
  • Immediately paying for any fees, chargebacks, or debit memos associated with its reservations.

While Travelmax does not presently charge ongoing membership fees, it does charge transaction and service fees. A list of these fees will be provided to prospective agencies that have completed our application forms. Fees are subject to change depending on each agency partner’s average sales volume and the level of service any given agency partner requires from our staff. Agency partners with the highest booking volume and most independence (e.g. those who issue their own tickets, handle their own changes, seat purchases, exchanges, and refunds) are charged the lowest fees.

Travelmax’s agency partners are fully responsible for any fees or charges they incur as a result of their reservation activity, such as debit memos resulting from churning, credit card chargebacks, or other violations of airline policies. Travelmax’s agency partners are also responsible for any fees incurred from transferring their earnings to other bank accounts. Travelmax charges a daily penalty of 10% of the balance due for late payments.

Members of Travelmax’s Agency Network are able to:

  • Reserve and purchase, via our website, email, Sabre, or Amadeus, tickets and travel services at net fares or commissionable rates through us and sell them to your customers.
  • Access our private intranet of commissions and net fares.

Travelmax does not represent Sabre, Amadeus, or any GDS.

We cannot answer questions on behalf of these companies and are unable to do anything beyond offering you access to terminals connected with our company GDS accounts and interfacing with you through these systems (e.g. through the exchange of PNRs you may send to us for issuance, which we may then release back to you).

We are not able to show agents how to use these systems. We expect that if you rent a terminal or generally book travel through us, you are already familiar with the systems, rules, and processes.

Travelmax does not help with technical sales or negotiation with passengers, GDSs, tour operators, or other vendors. Travelmax only provides its agency wholesale partners access to contracts it has already negotiated with airlines, tour operators, hotels, and other providers.

All of our agency partners are responsible for all passenger-related negotiation, service, and support. Travelmax does not interface with its agency wholesale clients.

No. Members of Travelmax’s wholesale agency network are not permitted to represent or transact business in the name of Travelmax and must maintain their own corporate identity.

One of the core value propositions of our network is that we enable agencies to maintain their own unique brands and autonomy while still enjoying the benefits granted to a large, international agency.

  • Immediately paying for any fees, chargebacks, or debit memos associated with its reservations.

Travelmax’s agency partners may submit payment using a passenger’s credit card card if that passenger signs and completes our Credit Card Authorization Form. Travelmax may waive this requirement for agencies who have security deposits on file with Travelmax.

By default, Travelmax does not provide credit lines, bulk payment, or delayed payment to its agency wholesale partners. Exceptions may be given to agency partners with a high booking volume and those who have a deposit on file with Travelmax. Nevertheless, any agency partner who does not pay a balance immediately when it becomes due will incur a 10% daily penalty on the balance owed.

Travelmax issues airline-related payment to its agency partners who have $50 or more due in payment on the first and third Wednesday of each month. Hotel, car rental, cruise, and package commissions are paid monthly. Agency partners can keep track of earnings and fees accrued in the interim through weekly sales reports, which are usually issued every Tuesday.

To prevent any confusion and protect your agency’s direct relationship with its clients, Travelmax does not issue invoices to agency partners’ passengers directly, nor does Travelmax initiate direct communication to agency partners’ clients regarding their upcoming flights.

No. Without prior written authorization from agency@travelmax.com or CEO@travelmax.com, an agency partner of Travelmax may not contact airlines, hotels, clients, or anyone else on Travelmax’s behalf, or represent Travelmax, its brand, or its staff in any way.

Travelmax is equipped to accept cash, check, and electronic bank transfer payments from its clients. Travelmax typically issues payment to its wholesale agency partners through ACH.

If you are unable to pay a fee due on time, you will incur a daily penalty fee of 10% of the balance due.

No. Travelmax’s wholesale agency clients may not release PNRs obtained using reservations systems to other agencies or carriers.

No. You must never share information about our contracts, partners, special rates, or net fares with anyone, including other members of our wholesale agency network.

Travelmax can send your last four sales reports to you for free. Additional historical reports can be sent in exchange for $10 per form.
